Troubleshooting

The most common things that look like a problem but aren't — and the handful that actually are, with the fix.

What you see A team member's order is sitting in Pending Approval with no approver named.

Why it happens: the order's company has no Manager or Admin. The order is still placed and held, but there's nobody on the customer's side to decide it, so it waits unassigned — you'll have had an email about it, and your CrewCommerce Dashboard flags it.

How to fix it: go to CrewCommerce > Companies and check that company has at least one Manager or Admin. Assign one, and claim the waiting order from CrewCommerce > Approvals. See Approval Workflows.

What you see An approved order is sitting in Pending payment instead of Processing.

Why it happens: the order was placed with a payment method that's taken online (a card gateway, for example). Nothing is charged while an order waits for approval, so once it's approved the Requester has to pay for it — they were emailed a link, and there's a Pay Now button on the order in their My Requests. It moves to Processing as soon as they pay.

How to fix it: nothing is broken — remind the Requester to pay. If the gateway is really an offline one (purchase order, pay by invoice), see Mapping your own offline payment gateway. See Payment after approval.

What you see A CrewCommerce tab in My Account (Team Dashboard, Pending Approvals, My Requests…) shows "Page not found."

Why it happens: WordPress's saved list of page addresses is out of date — usually after another plugin or a migration rebuilt it without CrewCommerce's pages in it.

How to fix it: go to Settings > Permalinks in WP Admin and click Save Changes without changing anything. That rebuilds the list, and the tabs work again.

What you see The "This is a business account" checkbox doesn't appear on your registration form at all.

Why it happens: that checkbox is added to WooCommerce's own registration form, which only appears if WooCommerce > Settings > Accounts & Privacy > Allow customers to create an account is turned on. It's an unrelated setting most people don't think to check.

How to fix it: turn that setting on. CrewCommerce's own Dashboard flags this under "Needs your attention" with a direct link, if it applies to your store.

What you see Inviting a team member fails with "That user is already a member of another company."

Why it happens: a person can only belong to one company at a time. The email you're inviting already belongs to someone on a different company's roster.

How to fix it: either use a different email for this person, or have their current company remove them first (from that company's Manage Team, or from WP Admin).

What you see Visiting a CrewCommerce page in WP Admin shows "Sorry, you are not allowed to access this page."

Why it happens: either the logged-in user isn't a site administrator (all CrewCommerce admin pages require the same capability as managing WooCommerce settings), or the page URL itself is wrong — WordPress shows the same message either way.

How to fix it: confirm you're logged in as an administrator, and reach the page by clicking through the CrewCommerce menu rather than typing a URL from memory.

What you see Checkout says "There are no payment methods available," even for an order that shouldn't need approval.

Why it happens: this isn't a CrewCommerce message — it's WooCommerce telling you no payment gateway is enabled for the order's country/currency. It's easy to mistake for an approval block because it also stops checkout.

How to fix it: check WooCommerce > Settings > Payments and enable at least one gateway.

What you see A Manager's pending-approvals count in the menu looks out of date after they approve something.

Why it happens: if your store uses a page-caching plugin, a logged-in Manager's My Account page can be served from cache instead of generated fresh, so the count lags behind reality by a request or two.

How to fix it: make sure your caching plugin excludes logged-in users, or at minimum excludes /my-account/ — standard practice for any WooCommerce account area, not specific to CrewCommerce.

What you see Approve is refused with "This order can't be approved because there isn't enough stock."

Why it happens: stock isn't reserved while an order waits for approval, so another customer bought the last units in the meantime. Approving anyway would oversell, or send the buyer to a payment page that refuses the order, so CrewCommerce stops and names the item and how many are left. The same reason is added as a note on the order.

How to fix it: restock the item (or allow backorders on it), or ask the buyer to change the order, then approve it. See If an item sold out while the order was waiting.

What you see A Manager's own order isn't in their Pending Approvals list, or they can't claim it.

Why it happens: by design — nobody approves their own order. It's sent to another Manager or the company Admin instead, and shows up in their list.

How to fix it: nothing to fix. If the company has no one else who can approve, the order waits unassigned; add a second Manager or an Admin, or decide it yourself from CrewCommerce > Approvals in WP Admin.

Theme compatibility

CrewCommerce adds its screens as extra tabs on WooCommerce's own My Account page, using the same structure WooCommerce itself uses. It should look correct on any theme built for WooCommerce. If your theme heavily customizes the My Account templates or applies unusual CSS to WooCommerce's account tables, CrewCommerce's screens may need a small style adjustment to match — check the Team Dashboard, Manage Team, and Order History tabs after switching themes.
