Short answers to the questions that come up most.

Can someone belong to more than one company?

No. Each person belongs to exactly one company at a time. To move someone, remove them from their current company first, then invite them to the new one.

What happens if I delete a team member's WordPress user account?

Their role and company membership go with them — CrewCommerce doesn't leave a dangling reference behind. Anything they'd already submitted (past orders, past approvals) stays in your records as history.

What happens to an order's approval status if I delete the order itself?

The approval simply can no longer be actioned — attempting to approve or reject a workflow whose order no longer exists fails cleanly rather than silently changing anything. In general, avoid deleting orders that still have a pending approval; cancel or refund them through WooCommerce instead.

Do Admins ever need approval?

No. Admins are exempt from approval rules and spend limits everywhere, with no setting to change that. It's a deliberate design choice — someone in the company needs the authority to always be able to buy.

When is the customer charged for an order that needs approval?

Not until it's approved. WooCommerce skips payment for an order held for approval, so nothing is charged at checkout. After approval, cash-on-delivery orders go to Processing and bank-transfer or check orders to On hold, as they would have at checkout; for payments taken online, the Requester is emailed a link to pay and the order reaches you once they have. Can I require approval from Managers too, not just Requesters?

Yes — add "Manager" under Apply Rules To in Settings. A Manager's order then goes to another Manager, or to the company Admin if there isn't one; nobody can approve their own order. See Approval Workflows.

Does CrewCommerce work with the block-based checkout, or only the classic one?

Both. Approval rules and spend limits are enforced the same way regardless of which checkout your theme uses.

Does CrewCommerce support multisite?

Yes. Companies and team memberships are kept separate per site — a business account on one site in your network doesn't automatically exist on another.

Is CrewCommerce free?

CrewCommerce itself is free. CrewCommerce Pro is a one-time purchase that adds spending limits, per-company rules, two approval steps, comments, bulk approval, reminders, self-registration, Fast Restock and reports, with 12 months of updates. Can a company have more than one Admin?

No, a company has exactly one Admin at a time. If that person leaves, promote a Manager or assign a new Admin from WP Admin so the company isn't left without one — see the unassigned-company scenario for what happens if you don't.

Can a Requester see other people's orders?

No. A Requester only sees their own orders under My Requests. Company Order History — the company-wide view — is only visible to Managers and Admins.

What happens to my data if I delete CrewCommerce?

By default, nothing is removed: companies, team memberships, approval records and comments stay in your database, so reinstalling picks up where you left off. If you want a clean removal, tick Delete all CrewCommerce data when the plugin is deleted under CrewCommerce > Settings > Data before deleting the plugin from the Plugins screen. Either way, WooCommerce orders, customer accounts and products are never deleted. Approve or reject anything still waiting first — Pending Approval is CrewCommerce's own status and means nothing to WooCommerce once the plugin is gone.

Can a customer ask for their CrewCommerce data to be exported or erased?

Yes. CrewCommerce plugs into WordPress's own Tools > Export Personal Data and Tools > Erase Personal Data, listed as "CrewCommerce company account". An export includes the person's company membership, their approval requests and decisions, their comments and team activity. Erasing removes their membership and comment text and strips IP addresses from the activity log; it keeps who requested and approved each order, because that's part of the order history, and keeps a company Admin's membership until someone else is made Admin. Suggested wording for your privacy policy is under Settings > Privacy.

What are the minimum requirements?

PHP 7.4 or later, WordPress 6.5 or later, and WooCommerce 8.0 or later.
