Can a company see all the orders its employees placed in WooCommerce?

TL;DR

Not with WooCommerce on its own. Each customer only sees their own orders under My Account › Orders, and WooCommerce doesn’t know which customers work for the same company. To let someone see everything their colleagues ordered, you need company accounts. In CrewCommerce, a company’s Managers and Admins get a Company Order History page in their account, listing every order placed by anyone on their team, with who placed it, its status and whether it was approved. Other companies’ orders never appear.

This request usually comes from your customer, not from you. The office manager, or whoever pays the invoices, wants to know what the team has been buying. They ask you, and you end up exporting orders and sending a spreadsheet.

What WooCommerce shows today

  • Each customer sees only their own orders, under My Account › Orders.
  • You see every order in WP Admin, but nothing groups them by company. You can look up one customer at a time.
  • Nobody at the customer can see the whole picture. There’s no account that’s allowed to see colleagues’ orders.

Sharing one login gets around this, because then everyone sees the same order list. But you lose who placed each order, which is usually the thing the customer wanted to know in the first place. The post on several people using one account goes through why.

What a company view needs

Three things have to be true for this to work properly:

  1. The store knows who works together. People are grouped into a company, each with their own login.
  2. Only some people see everything. A manager should see the team’s orders. A junior buyer probably shouldn’t see what everyone else ordered.
  3. Companies are kept apart. One customer must never see another customer’s orders.

How CrewCommerce shows it

I make CrewCommerce, so here’s how it handles each of those.

Every customer company has a team, and each person on it has a role. Managers and Admins get a Company Order History tab in My Account. It lists the whole team’s orders, newest first, with:

  • the order number, date and total;
  • who placed it;
  • its WooCommerce status, such as Processing or On hold;
  • its approval outcome, if it needed one.

They can search it and filter it by team member and by status, so “what did Emma order last month?” takes a few seconds. The tab sits right below WooCommerce’s own Orders tab, which still shows just the person’s own orders.

Requesters, the people who place orders, don’t get the company view. They see their own orders, plus a My Requests page for orders that needed approval, showing the status, the approver’s name and how long it’s been waiting.

The history is scoped to one company, so a Manager at one customer can never see another customer’s orders.

What you see as the store owner

In WP Admin you still have every order as usual, and each one is placed by the actual person’s account, so you can tell who ordered it. CrewCommerce adds two views across all companies:

  • Spend Reports: everyone with a monthly limit or spending this month, sorted by how close they are to their limit.
  • Activity Log: team changes across every company, such as who was added, promoted or removed, and when.

Questions people ask

Can employees see each other’s orders?

Only the company’s Managers and Admins can, from Company Order History. Requesters see their own orders and their own approval requests.

Can one company see another company’s orders?

No. Company Order History only lists orders placed by members of the viewer’s own company.

Can I tell which employee placed an order in WP Admin?

Yes. Each person orders from their own account, so every order in WP Admin shows who placed it.

Does sharing one login solve this?

It shows everyone the same order list, but every order looks like it came from the same person, so you can no longer tell who ordered what.
