The free plugin runs company accounts and approvals: unlimited companies and people, the Requester, Manager and Admin roles, email invitations, approval above an order value you set, payment after approval, and the My Account and WP Admin screens. Pro adds monthly spending limits and Spend Reports, a different threshold per company, categories that always need approval, two approval steps, comments, bulk approval, reminder emails, company sign-up at registration and join links, Fast Restock, Company Order History, the Activity Log and CSV export. Each person on a team is a Requester (orders), a Manager (approves and runs the team), or the company's one Admin. When a Requester's order needs sign-off, it's held as Pending Approval and their approver — a Manager or the Admin — gets an email. They see it in My Account — items, total, who placed it — and approve or reject it (a reason is required to reject). Either way the person who ordered is emailed the outcome, and an approved order drops into your queue like any other sale. Nothing is charged while it waits: if you take card payments, the buyer gets a link to pay once it's approved.
There isn't one to learn. They browse your storefront and check out the way they do now. The only new screens live inside their My Account page, and they only appear if they're on a team.
Not with Pro: a customer ticks a box at registration to create their company, their colleagues ask to join with a private link, and their admin approves them. With the free plugin, you create the company in WP Admin and its Admin invites their colleagues by email.
CrewCommerce requires WordPress 6.5+, PHP 7.4+ and WooCommerce 8.0+. It supports HPOS and both the classic and block checkouts, and its company screens live inside My Account, so it fits your existing theme. Most order-approval plugins let you, the store, review an order before accepting it. CrewCommerce is for the other kind: the approval happens inside your customer's company, by their own manager, before the order reaches you. Some sub-account plugins offer that too, so compare them on your actual workflow: who approves, whether each company can have its own rules, what happens to a card payment after approval, and what record you keep. In your own WordPress database. Companies, teams and approval history are stored alongside your WooCommerce orders, and CrewCommerce doesn't send your store's or your customers' data anywhere.
Your orders are ordinary WooCommerce orders and your customers' logins are ordinary WordPress accounts, so both stay exactly where they are — deactivating or deleting CrewCommerce doesn't remove them. CrewCommerce keeps its own records too (companies, teams, approval history), unless you tick the delete-all-data option in its settings before deleting it. One thing to do first: approve or reject any order still waiting for sign-off, because Pending Approval is CrewCommerce's own status and means nothing to WooCommerce once the plugin is off.
